Standard Operating Procedures¶
Standard Operating Procedures (SOPs) document how to perform specific processes. They ensure consistency, support compliance, enable training, and preserve institutional knowledge. SOPs are essential in regulated industries but valuable in any organization that needs repeatable processes.

## 1. Purpose
This procedure ensures customer data export requests are
processed in compliance with GDPR Article 20 (right to
data portability) and company data protection policies.
## 2. Scope
**Applies to**: All customer requests for personal data export
**Does not apply to**:
- Internal data requests
- Requests from law enforcement (see SOP-LEGAL-003)
- Anonymized data requests
## 3. Responsibilities

## 5. Procedure
### 5.1 Receive Request
1. Log the request in the tracking system
2. Assign ticket number format: DE-YYYY-NNNN
3. Send acknowledgment within 24 hours using template TE-001
### 5.2 Verify Identity
1. Confirm requester is the data subject or authorized representative
2. Request government ID if identity is uncertain
3. Document verification in the ticket
### 5.3 Assess Request
1. Determine data categories requested
2. Check for third-party data that cannot be included
3. If sensitive data involved, escalate to Compliance Officer
### 5.4 Execute Export
1. Access the Data Export Tool
2. Enter customer ID
3. Select requested data categories
4. Generate export in JSON format
5. Verify export contains only requested data
6. Generate SHA-256 checksum
### 5.5 Deliver Data
1. Upload export to secure transfer portal
2. Send download link to verified email
3. Set link expiration to 7 days
4. Document delivery in ticket
### 5.6 Close Request
1. Confirm customer received data
2. Mark ticket as resolved
3. Archive supporting documentation

Writing Effective SOPs¶
Procedure Writing¶
Write procedures clearly:
Too vague:
Process the request appropriately.
Too detailed:

Appropriate:
Click Submit to process the request.
Match detail level to audience and task complexity.
Action Steps¶
Each step should be:
- Numbered: Sequential order
- Single action: One task per step
- Active voice: "Enter the data" not "Data should be entered"
- Specific: Include what, where, and how
Decision Points¶
Document decisions clearly:
